Iceland Advice BOOKING SERVICE – TERMS AND CONDITIONS
Please read the terms and conditions carefully, since we assume if we receive a booking through this website and/or request on e-mail, that you have read them and accepted them.
Bookings: When you book a tour on the website www.icelandadvice.is, we assume that you have read the terms and conditions and you have accepted them. When Iceland Advice has received full payment and a confirmation invoice, a contract between you and Iceland Advice has come into existence, not before. If a person makes a booking for more than one person, he/she is responsible for payment from all in the group as well as accepting the terms and conditions on behalf of all in the group. When a tour is booked you will receive a voucher with your order number and details as well as a weekly newsletter from Iceland Advice. It is important to check the details on the invoice when you get it. If any details on the voucher or your invoice seems to be incomplete or incorrect, please contact us as soon as possible. Also keep in mind that it is important to bring your voucher with you and give it to the tour operator, the voucher is your ticket. If there is any problem with your booking we will be in touch as soon as possible.
If you want to change or cancel your booking: If you need to change a booking, we will try to assist you in any way possible. The sooner you’d be in touch, the better. So if you need to change a booking, contact us through the contact form on www.icelandadvice.is/contact-us or send us an e-mail to [email protected] We can’t guarantee that we can change a tour, but we will always do our best. If you need to cancel your booked arrangements, you must give us written notice by email signed by the same person who made the original booking. Iceland Advice will do its best regarding your cancellation request. Late cancellation can though bring compensation claims from tour operators and other service partners. Cancellations should be sent to [email protected]
Cancellations Terms: The method of refund payments are the same as original payment. For example if payment was made by credit card, the refund will be to the same credit card. Based on the time a written cancellation was received, a refund percentage is determined. Fluctuations in exchange rates are not in our control so the amount in your currency might differ.
Cancellation refund: More than two weeks prior tour departure: 90% refund. Less than two weeks and more than one week prior to tour departure: 75% refund. Less than one week and more than 72 hours prior to tour departure: 50% refund. Less than 72 hours and more than 48 hours prior to departure: 25% refund. Less than 48 hours prior to tour departure: Non refundable.
If booking was made for 10 or more people and cancellation is less than 72 hours and more than 48 hours prior to tour departure, 50% is refundable. If suppliers (third party) terms & conditions regarding your refund request are different than ours; the suppliers policy are valid. Iceland Advice advises all clients to buy comprehensive travel insurance to minimal financial loss due to cancellation.
Currency: Currency exchange is based on the daily exchange rate of the Central Bank of Iceland and therefore exchange differences may fluctuate until final payment is made. All charges on Iceland Advice website are made in Icelandic Króna (ISK). You can view an estimated price in a number of currencies to help you understand the approximate price in your preferred currency. Final payments are always conducted in Icelandic Króna (ISK). All refunds are also conducted in Icelandic Króna (ISK). Iceland Advice does not charge any booking or transaction fee and therefore can not be held liable to any loss on currency exchange during transactions that may occur at the time of payment and/or refund.
Disclaimer: For all tours that are operated by a third party, Iceland Advice cannot be responsible for accidents or injury which can be traced to tour operators or customers own action.
Liability: Iceland Advice sells tours from third party tour operators, therefore Iceland Advice cannot be held accountable for changes that a tour operator might make. Iceland Advice is also not liable for expenses because of accidents or sickness, strikes that will affect your tour, changes in flights schedules or other happenings that Iceland Advice has no control over like weather or volcano activities.
Self Drive Terms and Conditions
Icelandadvice.is is the online booking site and trading name of Iceland Advice ehf. Our registered head office is at Flatahraun 31, 220 Hafnarfjörður, Iceland.
Any booking made or order placed by you, whether through the company’s website or otherwise, shall be deemed as an offer by you to purchase the relevant package or other travel arrangements subject to these booking conditions. No contract between you and Iceland Advice shall come into existence until Iceland Advice accepts full payment and issues a confirmation invoice.
The person who makes the booking accepts these conditions on behalf of all members of the party and is responsible for all payment due from the party.
Booking services with Iceland Advice are currently only available to the person who has reached 18 years of age. Individuals under the age of 18 must be accompanied by at least one adult.
By submitting a booking, you confirm to us that you comply with this agreement.
Important information upon booking
Following details should be provided upon booking:
- Full Name and date of birth
- Phone number
- Number of passengers travelling together
- Number and age of children accompanying their guardian
- Flight number
- Tour number/name
- Type of accommodation (affordable, standard, premium) and a number of rooms. Please note the rooms will be provided according to the passenger number, for example: if 2 passengers travel together then twin/double room will be provided, if 3 passengers travel together then twin/double room and one single will be provided or triple room.
- Type of car ( we offer 13 types)
- Optional tours and other requested services such as specific needs
- Drivers license number. Held for at least one year in Latin Alphabet. If two drivers who intend to drive driver’s license for both drivers are needed.
Booking is not confirmed unless it is confirmed via e-mail by Iceland Advice Travel agent.
Iceland Advice charges a non-refundable 20% deposit of total package price at the time of booking for tours booked more than 30 days prior to arrival. The remaining amount should be paid in full latest 30 days prior arrival.
If final payment is not received 21 days prior to arrival, Iceland Advice reserves the right to withdraw all confirmation of services and treat this as a cancellation.
Tours booked made 30 days or less prior to arrival should be fully paid upon booking
All rates shown or quoted on the website or in print are based on current prices and are subject to change without notice in the event of government taxes, the event of currency fluctuation or any similar increase that is beyond the control of Iceland Advice.
Iceland Advice reserves the right to change/adjust/alter/correct errors that may occur to the rates and information on the website or in print. You will be notified of any increase in prices already published as soon as possible.
The price is guaranteed after the final invoice has been issued unless an unforeseen increase is due to currency changes or government laws. Iceland Advice will absorb the amount equivalent to 5% of the total package price. Amounts exceeding 5% will be charged but if the surcharge exceed 10%, you will be entitled to cancel your booking with a full refund
All charges on Iceland Advice website are made in Icelandic Króna (ISK). You can view an estimated price in a number of currencies to help you understand the approximate price in your preferred currency. Final payments are always conducted in Icelandic Króna (ISK).

If final payment is not received 20 days prior to arrival, Iceland Advice reserves the right to withdraw all confirmation of services and treat this as a cancellation.
We accept payment from all major credit cards such as: VISA, MasterCard, Maestro, Diners Club International, American Express (will incur a 3% handling fee due to the high fees charged by these providers), Discover, JCB, UnionPay. Also its possible to make a bank transfer*.
*Please note that bank transfers are not possible for bookings made less than 15 days from the date of travel.
Invoice and travel documents
The invoice, as well as the final program, will be sent to you in PDF format after the final payment as well as be included in your final printed documents upon arrival.
Your documents including invoice, vouchers, final program and other documents will be handed over during the car rental pick up (Keflavík Airport or Reykjavík) or you can meet our travel consultant at the office (optional).
The travel documents can be mailed by first class post to the customer if required at an extra fee. If chosen to receive the documents by mail then we need the billing address of the credit card holder, not the address of the passenger, unless they are one and the same Iceland Advice is not liable for documents mislaid or lost and therefore we recommend that all documents be sent by Registered Post or Courier Service to your home address..
Changes made to a program
No changing fee will be charged for minor changes in the program
No planning fee will be charged when Iceland Advice travel agent assists you with adding service to your booking.
The final price can change accordingly to the changes made in the program, depending on car rental and hotel rates etc. If this occurs Iceland Advice will notify you about the increased costs or refund the difference.
In case of changes, Iceland Advice cannot guarantee the same accommodation, car or tour operators stated in the original package.
Changes that concern travel dates, late changes or major changes in the program, will be charged changing fee of 20.000 ISK
- Major changes refer to all changes that mean a rearrangement of one day or more within a tour package (including accommodation, activities, car, and dates)
No changes can be made 7 days prior the arrival
You can always change your mind and cancel the booking within 24 hours from booking, please note that the deposit made upon booking is not refundable if arrival date is within 7 days.
Cancellation of tour packages
Cancellation should always be made in writing and is only valid when confirmed by Iceland Advice travel agent.
Cancellation fee will apply as follows:
Individuals / small groups ( up to 9 pax)
- 20% non-refundable deposit unless cancelled within 24 hours after booking
- 50% cancellation fee for cancellation more than 2 weeks prior to arrival.
- 75% cancellation fee for cancellation 2 weeks to 48 hours prior to arrival
- Full charge for cancellation 48 hours prior to arrival as well as for no-shows.
Group booking (10 pax or more):
- 20% non-refundable deposit unless cancelled within 24 hours after booking
- 30% cancellation fee 8 to 10 weeks prior to arrival
- 50% cancellation fee 4 to 8 weeks prior to arrival
- Full charge for cancellation 4 weeks or less prior to arrival
Cancellation terms may differ than the terms stated above when dealing with large groups.
Please note that cancellation of one or more passengers within a group may cause a price increase for the group or a cancellation fee according to above rules for those canceled passengers
Iceland Advice disclaims responsibility for any loss, damage, accidents, injuries, death or sickness during the stay in Iceland. The same applies to any changes in tour schedule due to weather, acts of nature, strikes or any other force majeure where Iceland Advice has no influence.
We strongly advise all our clients to secure a comprehensive travel insurance as in case of any changes in flights (domestic and international), the travellers shall pay any additional cost caused by this, at the time the service is provided (extra hotel nights, meals, transfers etc.).
The organizer and Iceland Advice ehf hereby accept the district of Reykjavik, Iceland, where the services are being supplied, as the proper legal venue. Icelandic law shall apply to any legal issues that arise between the two parties.
At some hotels, a credit card might be required upon check-in. This is only for guarantee and your card will not be charged unless you have used services (meals, minibar, etc.) that need to be paid to the hotel directly upon check out.
Iceland Advices’ goal is to provide with the best service possible and make your trip memorable as well as safe. Therefore we cooperate only with responsible car rental company who provides good quality vehicles, well maintained as well as excellent service.
Iceland Advice is unable to guarantee preferred car type as the car rental reserves the right to substitute vehicles when the reserved car types are not available.
Age and driving license:
The lessee/driver of a passenger car or a jeep has to be at least 20 years old and driver license held for at least one year in Latin Alphabet. If two drivers that intend to drive, driver’s license information for both drivers are needed.
Car rental contract
Upon vehicle pick up you will need to fill out and sign a contract with car rental company. We strongly recommend to read this contract carefully and make sure that you are aware of all the terms, insurances, self- risk and restrictions as Iceland Advice cannot be liable for the agreement between you and the car rental company. All matters and concerns that involve the vehicle should be directed to the Car Rental company.
Credit Card imprint
A credit card imprint will be taken at the start of all rentals for security reasons, even when a voucher covers the cost of the rental.This credit card imprint may be used to pay all extra charges, extra insurance, parking tickets, damages, tank refill or any cost due to the use of the rented vehicle.
The vehicle shall be handled and driven carefully. Only those named as drivers are authorized to drive the automobile. The car rental company can refuse to provide a vehicle to any customer who is in their opinion unfit to drive, or who does not meet eligibility requirements.
The vehicle shall be returned with the same fuel on, or a charge will be made for the missing liters + 20€ service charge, by car rental company.
Rental period, extension and drop off
Rental period is minimum 1 day (24 hours). If the car is not returned as time agreed or does not declare his intention to extend the lease is dependent on the consent of the car rental company. If the lessee returns the vehicle 1 hour or later after the lease has expired, the lessor is authorized to demand up to 24-hours rental under the terms of the lease. For every day that begins thereafter, the lessor may collect all charges as per the lessor’s price list. If the vehicle is dropped at a different location than stated in this rental agreement the lessor is allowed to charge lessee for the cost caused by fetching the vehicle.
Car pick up and drop off
Free pick up and drop off is offered within the Reykjavik area with a shuttle bus between 09-18 daily. Pick up and drop is also available at Keflavík Airport. The pickup and drop off information are needed in advance upon booking.
Driving rental cars on roads or tracks with no road number is forbidden. Passenger cars and 2wd vehicles are strictly forbidden on roads that are marked with an F on public maps, as well as driving Kjolur (road 35) or Kaldidalur (road 550). Driving on F-roads is only allowed on 4X4 (four-wheel drive) jeeps that the lessor agrees as appropriate for being driven on such roads. A breach of this article authorizes lessor to collect fines from the lessee, equaling the amount of own-risk. The aforementioned provision on fines does not affect the lessee’s liability regarding damage.
Refund and complains
Iceland Advice is always monitoring the quality of the product provided by our suppliers. Therefore, if for any reason you are not satisfied with your holiday package please contact us (in writing) as soon as possible or within 15 days of your return. If you are unable to notify Iceland Advice by that time it may jeopardize your right to compensation.
